🔒 GDPR Ground Rules
The most important 5 minutes of the workshop. These rules protect you, your service users, and your employer.
⚠️
This is not about restricting you. It is about making sure you can use AI confidently without putting yourself at risk. Learn the boundaries once — then work freely within them.
⚖️ The Core Ruling — Understand This First
Under UK GDPR, a pseudonym does NOT remove the legal risk. Even if you rename John as Sam, the combination of age + diagnosis + behaviours + incidents makes an individual identifiable.

📋 The 5 Rules — Say These Out Loud
Read each rule and tick it once you have understood it
Rule 1: Never type the real name of a service user into any public AI tool. Ever. Use a fictional name for practice only.
Rule 2: Never describe a real incident with real details in an AI tool. Practise with fictional scenarios only.
Rule 3: Use AI to learn how to write reports. Write the actual report from memory in your employer's secure system.
Rule 4: NotebookLM is safe for your policy documents — these are organisational documents, not personal data.
Rule 5: If you are ever unsure whether something is safe to share with an AI tool — assume it is not. Check with your manager first.

What is a prompt exactly? ▼
A prompt is the instruction you give to an AI tool. The better your instruction, the better the output. Think of it like briefing a very capable assistant — the more context and detail you give, the more useful their response will be.
Do I need to use these prompts word-for-word? ▼
No — they are starting points. Over time you will adapt them to your own style and the specific people you support. The key parts to keep are the Role (who AI acts as) and the Output (what format you want). The context section is where you personalise.
Can I save these prompts somewhere? ▼

What if the AI gives me a wrong or strange answer? ▼
Always review what AI produces before using it. AI can make mistakes — especially with specific policies or procedures it does not have in its context. For NotebookLM, check the citation. For Claude, edit the output to match the real situation before submitting any report.
